Jews United for Justice (JUFJ) is seeking an Executive & Special Projects Assistant  to help support a growing organization and further JUFJ’s mission by providing administrative support to the Executive Director and Deputy Director, and by taking on a range of special projects. 

The ideal candidate will be energetic and detail-oriented, and thrive in a fast-paced environment. Candidates must have excellent interpersonal skills, an orientation toward flexibility, the skills and desire to solve a range of problems, and exceptional judgment.

Main areas of responsibility include scheduling and administration, project management, doing special projects, and professionally communicating on behalf of the Executive Director and Deputy Director. The ideal candidate will remain adaptable as the position responsibilities may evolve over time.  The Executive & Special Projects Assistant reports to the Executive Director, and is based in Washington, DC. This is a full-time, exempt position that falls within a bargaining unit represented for collective bargaining purposes by a labor organization (NPEU/Local 70, IFPTE).

Job Responsibilities 

Scheduling & Administration 

  • Manage Executive Director and Deputy Director’s calendar and appointment scheduling
  • Prepare for Board Meetings, including correspondence with board members, scheduling, coordinating catering and meeting room setup 
  • Record and summarize meeting minutes from all staff, senior staff and board meetings, and follow up with all attendees regarding required action items 
  • Perform clerical duties such as maintaining files, organizing electronic documents, etc. 

Communication

  • Communicate via email and phone with important stakeholders, such as board members and donors, on behalf of the Executive Director and Deputy Director via email and phone 
  • Draft correspondence such as staff-wide emails, memos, messages to donors, etc. 

Project Management

  • Assist Executive Director and Deputy Director with project management, including research, ensuring that each member of the project is aware of their responsibilities and deadlines, making sure projects  are on track,  effectively following up with the team, etc.
  • Play a connecting and facilitating role across teams to help projects succeed across the organization

Special Projects

  • Take on key discrete responsibilities in important projects and events across the organization (for example, supporting large-scale fundraising events and major advocacy campaigns, and leading staff engagement surveys)
  • Support the administration and smooth functioning of the Collaborative for Jewish Organizing, which is housed at Jews United for Justice 

Key Qualifications & Experience

We’re looking for candidates with particular strengths in the following areas:

  • Office Support Experience: One to three years of experience related to office coordination and support (internships included), with executive-level support and nonprofit experience preferred 
  • Interpersonal Communication Skills: Possesses excellent verbal and written communication and interpersonal skills, including ability to correspond, interact, and quickly build trust with members at all levels of an organization 
  • Collaboration Skills: Has a strong teamwork orientation – we’re pretty busy here, and your job would be to make things run smoothly. 
  • Project Management Skills: Approaches work with a spirit of “yes.” Has excellent problem-solving skills and a strong sense of ownership over tasks, including follow-through, and is willing to do what it takes to get the job done. Able to effectively plan and prioritize when faced with competing deadlines. 
  • Self-Starter: Thrives in a fast-paced environment and can manage a high volume of work without sacrificing quality. 
  • Strong Attention to Detail: Is highly organized, with strong attention to detail – always triple-checks work 
  • Team Player/Supporter: Views own work as supporting the whole, and integral to the team’s effectiveness 
  • Technology: Enjoys working with technology and has an appetite and aptitude to learn more about Google Suite, Microsoft Word, Asana, and our database, EveryAction (NGP VAN)
  • Integrity and Discretion: Position involves access to and sensitive use of confidential information. Candidates will have exceptional integrity and discretion to compartmentalize confidential information
  • Belief in Mission: Actively demonstrate a commitment to integrity, credibility, and dedication to the mission of Jews United for Justice.

Logistics

  • Compensation: $43,000 – $48,000 per year commensurate with experience
  • Benefits: JUFJ  offers a competitive benefits package covering 100% of employee medical & dental insurance premiums, 25% of premiums for employee dependents, employer retirement contributions (SIMPLE IRA), short-term disability income protection insurance, public transportation stipend, and generous paid time off, including paid family and medical leave
  • Location: This is a full-time position based out of JUFJ’s Washington, DC office. Due to COVID-19 regulations, all staff are working remotely at this time
